Goals for Every Event

  • Lake-friendly: Minimal waste, zero spills, protect habitat
  • Safe & accessible: Clear roles, right PPE, and options for different abilities
  • Welcoming: Friendly tone, short shifts, and visible wins
  • Documented: Simple counts and notes to learn and report back

Planning (4–6 Weeks Out)

  • Purpose & scope: What outcome? (e.g., "Plant 400 shoreline natives," "Clean 2 miles of shore")
  • Permissions & partners: Landowner/agency OK; coordinate with tribal partners when appropriate
  • Date/time & weather plan: Pick a backup date or rain-delay window
  • Site plan: Access, parking, check-in, staging, restrooms, hand-wash
  • Supplies & PPE: Gloves, tools, sharps jar, first-aid kit, sunscreen, water, spill kit
  • Waste plan: Pack-in/pack-out, recycling options, and where special waste goes
  • Accessibility: Firm routes, seating/rest points, and tasks for all ages/abilities

Outreach (2–3 Weeks Out)

  • Invite clearly: When/where, what to bring/wear, time commitment (60–90 min option), safety notes
  • Roles sign-up: Greeter, safety lead, data lead, materials lead, photographer/recorder
  • Language & inclusion: Plain-language invite; consider translation; family-friendly tone

Day-Of Setup (30–45 Minutes Before)

  • Check hazards: Traffic, slopes, poison ivy, sharp debris, bees
  • Stage supplies: Tools in sets, labeled bins (trash/recycle/special), water station
  • Sign-in & waivers (if required); name tags and role cards
  • Brief roles: Greeter (welcome + forms), Safety (PPE + first aid), Data (counts), Materials (tools + waste), Leads for task zones

5-Minute Kickoff Script

  1. Welcome & purpose ("Today we're ___ to help the lake by ___.")
  2. Safety & site rules (PPE, water, sun, boundaries, hazards, buddy system)
  3. Task demo (proper planting, how to bag litter, what to skip/report)
  4. Data & photos (what to count; avoid faces in public posts without permission)
  5. Wrap time & rendezvous (location; who to see with questions)

Lake-Friendly Practices (Non-Negotiables)

  • Waste-smart: Reusable jugs/cups; avoid single-use where possible; bring extra bags
  • Spill-smart: Fuel/chemicals away from shore; have absorbent pads; never rinse to water
  • Soil protection: Keep stockpiles covered; mulch/seed disturbed spots same day
  • Wildlife respect: Avoid nests and sensitive plants; leash pets; quiet zones near loon and heron areas

Safety Basics

  • PPE: Gloves, closed-toe shoes; eye protection for cutting/hammering
  • Weather: Heat/cold plan; lightning = stop and seek shelter
  • Sharps & hazards: Use a rigid sharps jar; don't pick up syringes/unknown chemicals—mark and report
  • First aid & emergency: Kit on site; location address/GPS posted; who calls whom

Data & Reporting (Keep It Simple)

Counts:

People, hours, plants installed, bags or weight of litter, feet of buffer, tools repaired

Notes:

Hotspots, common items, erosion areas to revisit, participant ideas

Follow-up:

1-page recap shared with photos (with consent), next steps, and thank-yous

After-Action (Within 72 Hours)

  • Thank volunteers & partners; share results and next date
  • Fix issues fast: Re-stake coir, water new plants, schedule a short follow-up crew
  • Update SOPs: What worked/what to change (parking, tools, timing)
